By using our website at frontdeskaistudio.com (the "Site") or any of our services (the "Services"), you agree to the practices described below.

    2. Information we collect

    We collect information in three ways: information you give us, information we collect automatically, and information we receive from third parties.

    2.1 Information you give us

    When you contact us, book a Strategy Call, fill out a form on the Site, sign up for our Services, or otherwise interact with us, you may give us:

    • Name, business name, email address, phone number, and mailing address
    • Information about your business (industry, team size, current tools, services offered)
    • Payment information (processed by Stripe — see Section 5)
    • Content of messages you send us (including chats with our AI agents, voicemail transcripts, and call recordings)
    • Any other information you choose to provide

    2.2 Information we collect automatically

    When you visit the Site or use the Services, we may automatically collect:

    • IP address, browser type, operating system, and device identifiers
    • Pages visited, links clicked, time spent, and referring URLs
    • Cookies and similar tracking technologies (see Section 7)
    • For phone calls handled by our AI Voice agents: caller phone number, call duration, call audio and transcripts, and metadata about the call

    2.3 Information from third parties

    We may receive information about you from:

    • Service providers and sub-processors who help us deliver the Services (see Section 5)
    • Public sources, business directories, and lead-enrichment tools
    • Partners and clients who refer you to us

    3. How we use your information

    We use the information we collect to:

    • Provide, operate, and improve the Services
    • Build, train, configure, and tune your AI Voice and AI Chat agents
    • Schedule and conduct Strategy Calls and customer support
    • Process payments and send invoices, receipts, and renewal notices
    • Send service-related emails, SMS, and notifications (including A2P 10DLC-registered text messages)
    • Send marketing communications (only with your consent — you can opt out anytime; see Section 8)
    • Detect, prevent, and address fraud, abuse, or security issues
    • Comply with legal obligations
    • Conduct internal analytics, research, and product development

    We do not sell your personal information.


    4. AI Agents — call and chat data handling

    Our Services include AI Voice receptionists and AI Chat agents. Special disclosures apply:

    4.1 Call recording and consent

    When callers reach an AI Voice agent we have configured on your behalf, calls may be recorded and transcribed to (a) train and improve the agent, (b) build a record of the conversation for your CRM, and (c) verify quality. Florida is a two-party consent state, and our standard AI Voice configuration includes a consent disclosure at the start of each call. As our client, you are responsible for ensuring this disclosure is appropriate for the jurisdictions in which you operate and for honoring caller opt-out requests.

    4.2 What the AI does NOT process

    We configure our AI agents to avoid handling certain categories of sensitive information:

    • Payment card data (PCI) — calls involving payment information are routed to your secure payment portal or a human agent
    • Protected health information (PHI) subject to HIPAA — for healthcare clients, we configure HIPAA-aware workflows that route sensitive medical conversations to your secure intake systems rather than the AI conversation log
    • Government ID numbers (Social Security, driver license, passport) — collected only through secure intake forms, not through the AI conversation

    4.3 Data retention for AI conversations

    Call recordings, chat transcripts, and AI conversation logs are stored in your HighLevel CRM workspace under your control. You can delete records at any time. We retain copies for up to 90 days after deletion for backup and audit purposes, after which data is purged from our systems.


    5. Sub-processors and third-party services

    We use the following sub-processors to deliver the Services. Each is bound by data protection terms appropriate to its role:

    6. How we share your information

    We share your information only as described below:

    • With sub-processors listed in Section 5, to deliver the Services
    • With your authorization, such as when you ask us to integrate your AI agent with a third-party tool (calendar, payment processor, etc.)
    • To comply with legal obligations, respond to subpoenas, court orders, or government requests
    • To enforce our agreements, protect our rights, or prevent fraud or abuse
    • In a business transfer, such as a merger, acquisition, or sale of assets — we will notify you of any such change

    We do not sell your personal information to third parties for advertising.


    7. Cookies and tracking

    The Site uses cookies and similar technologies to remember your preferences, analyze how the Site is used, and measure marketing effectiveness. You can control cookies through your browser settings. Blocking cookies may affect how the Site functions.

    We use the following categories:

    • Strictly necessary cookies to make the Site work
    • Analytics cookies to understand usage and improve the Site
    • Marketing cookies to measure and improve our outreach (only with your consent where required)

    8. SMS and email marketing — your opt-in and opt-out rights

    8.1 SMS messages (A2P 10DLC compliance)

    When you provide your mobile phone number to us — by submitting a form, booking a Strategy Call, or chatting with one of our AI agents — you consent to receive SMS messages from us related to your inquiry and our Services. We may send appointment confirmations, follow-ups, service updates, and occasional marketing messages.

    Message frequency: Variable, based on your activity. Typical users receive fewer than 10 messages per month.

    Standard message and data rates from your carrier apply.

    To stop messages: Reply STOP to any text message. You will receive a confirmation, and we will not send further marketing messages unless you opt back in.

    We do not share your mobile phone number with third parties for their marketing purposes. SMS opt-in information is not shared with any third party for marketing purposes.

    8.2 Email marketing

    We may send marketing emails about new features, content, and offers. Every marketing email includes an unsubscribe link. You can also email hello@frontdeskaistudio.com to opt out.

    Transactional emails (receipts, account notices, security alerts) cannot be opted out of while you remain a customer.


    9. Your privacy rights

    Depending on where you live, you may have rights regarding your personal information, including:

    • The right to access the personal information we hold about you
    • The right to correct inaccurate information
    • The right to delete your personal information, subject to certain exceptions
    • The right to opt out of marketing communications
    • The right to data portability (a copy of your information in a structured format)

    10. Data security

    We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (HTTPS/TLS), encrypted storage at rest, access controls, and regular security reviews of our sub-processors. No system is 100% secure, however, and we cannot guarantee the absolute security of your information. If we become aware of a data breach affecting your information, we will notify you in accordance with applicable law.


    11. Data retention

    We retain your information only as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. When you terminate your relationship with us, we will delete or anonymize your information within 90 days, except where we are required to retain it longer by law (for example, tax records).


    12. International data transfers

    We are based in the United States, and your information will be processed in the United States. If you are accessing the Site or Services from outside the United States, you consent to the transfer of your information to the United States.


    13. Children's privacy

    The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us at hello@frontdeskaistudio.com and we will delete it.
